Job Title: Vendor Management Analyst
Role Summary:
The Vendor Management Analyst is responsible for overseeing the procurement, shipping, and
inventory management of hardware and devices for clients. This role also involves managing vendor
contracts, processing service certifications, and ensuring that all vendor interactions are handled
efficiently and effectively. The Vendor Management Analyst plays a key role in maintaining smooth
operations and supporting the company’s relationships with its vendors.
Key Responsibilities:
1. Procurement and Shipping Management:
• Manage the procurement process for hardware and devices, ensuring timely and
cost-effective purchases.
• Oversee the shipping process, coordinating with vendors to ensure that hardware
and devices are delivered on schedule.
• Track and manage all shipments, ensuring that clients receive their hardware and
devices as expected.
2. Inventory Management:
• Maintain accurate and up-to-date inventory records for all hardware and devices by
client.
• Conduct regular audits of inventory to ensure accuracy and availability of equipment.
• Monitor inventory levels and place orders as needed to replenish stock, avoiding
shortages and delays.
3. Vendor Contract Management:
• Receive and process requests for sending contracts to vendors, ensuring all
necessary documentation is prepared and delivered promptly.
• Maintain organized records of all vendor contracts, tracking the status and ensuring
compliance with terms and conditions.
• Communicate with vendors regarding contract details, addressing any questions or
issues that may arise.
4. Service Certification Management:
• Respond to vendor requests for service certifications, ensuring accurate and timely
issuance of certifications.
• Collaborate with internal teams to gather necessary information for service
certifications.
• Maintain a record of all service certifications issued, ensuring that they are properly
documented and accessible.
5. Vendor Relationship Management:
• Build and maintain strong relationships with vendors to ensure effective
communication and collaboration.
• Serve as the primary point of contact for vendors regarding hardware procurement,
inventory management, and service certifications.
• Address any vendor-related issues or concerns in a timely and professional manner.
6. Reporting and Documentation:
• Generate regular reports on inventory levels, procurement activities, and vendor
performance.
• Maintain detailed and organized documentation of all procurement, shipping, and
inventory management activities.
• Provide insights and recommendations to improve the efficiency and effectiveness of
vendor management processes.
Requirements:
• Bachelor’s degree in Business Administration, Logistics, or a related field.
• 2-4 years of experience in vendor management, procurement, or a related role.
• Strong understanding of procurement processes, inventory management, and vendor
relations.
• Proficiency in inventory management software and Microsoft Office Suite, particularly Excel.
• Excellent organizational skills with high attention to detail.
• Strong communication and interpersonal skills, with the ability to build and maintain effective
vendor relationships.
• Ability to manage multiple tasks and priorities in a fast-paced environment.
• Problem-solving skills and the ability to work independently and as part of a team.
