Role Overview
The Administrative & HR Operations Assistant will provide end-to-end operational and administrative support to the HR and Talent teams, focusing on documentation, onboarding, and presentation materials. This role involves close coordination with recruiters, hiring managers, and clients, requiring strong organization, attention to detail, and advanced communication skills in English.
Key Responsibilities
Coordinate the full onboarding process for new hires, including document management, orientation setup, and access provisioning.
Maintain updated and organized records in HR databases, spreadsheets, and shared drives.
Support the Talent Acquisition team in scheduling interviews, following up with candidates, and managing communication across multiple channels.
Create, format, and update resumes and professional profiles based on internal templates and brand standards.
Prepare client-facing presentations and candidate summaries, ensuring consistency and professional delivery.
Collaborate with hiring managers to gather and verify job-related information.
Use G-Suite tools (Sheets, Docs, Slides, Forms, and Drive) to track and report HR metrics, manage workflows, and automate repetitive tasks.
Identify process improvement opportunities, leveraging AI tools and workflow automation.
Support HR operations including payroll coordination, compliance tracking, and documentation control.
Maintain confidentiality and ensure accuracy across all employee-related data.
Qualifications
Bachelor’s degree in Business Administration, Human Resources, or a related field.
4+ years of experience in administrative or HR support roles, ideally within a technology or consulting company.
Proven experience managing onboarding and employee documentation processes.
Advanced proficiency in G-Suite (Google Sheets, Docs, Slides, and Drive).
Strong written and verbal communication skills in English (C1 or higher).
AI-savvy mindset and experience using productivity tools such as ChatGPT, Gemini, Notion AI, or Zapier.
Excellent organizational, time management, and multitasking abilities.
Experience preparing client deliverables, resumes, or recruitment materials is a strong plus.
Prior experience supporting recruitment or HR coordination is an advantage.
